The Sanitation Administrative Specialist will be responsible for managing, preparing sanitation documents for senior management review, and overall providing administrative support to the Sanitation Department by maintaining documents including updates, and reviewing processes for accuracy and efficiency.
The ideal candidate will assist by collaborating and consulting with senior management with documentation reviews associated with food and safety compliance.
Interprets operating policies and procedures through critical thinking, analysis, and complex problem-solving ability.
Exercises independent judgment in the resolution of administrative problems and possesses a positive, professional work attitude.
Bi-lingual/Bi-literate Spanish required.
Essential Duties and Responsibilities Coordinates and implements general office services such as answering/returning phone calls, appointment-setting, records control, data entry, and other administrative activities.
Recording/Tracking/Filing, Storing of sanitation documents such as employee training and compliance documents.
Manages the upkeep of Sanitation Master File for audits.
Preparing, distributing, collecting daily logs, and recording training meetings.
Print documents for use by department personnel.
Prepares, schedules, and presents all the training for the department.
Assist in compiling information for training meetings by using advanced writing skills.
MSDS Books:
Proactive in keeping information current and up to date.
Analyzes unit operating practices such as record keeping systems, forms control, office layout, and personnel requirements.
Creates new systems or revises established procedures.
Interprets and communicates operating policies by explaining what policy information means and how it can be used.
Collaborates and assists Sanitation Manager and leadership team as needed.
Assembles and categorizes data facts and figures for written computation and calculations.
Assists with special sanitation assignments.
Responsible for translating Sanitation compliance employee documents from English to Spanish.
Operates personal computer to access e-mail, electronic calendars, and other basic office support software.
Uses various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
Responsible for exercising administrative judgment and assumes responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area.
Assist by evaluating information to determine compliance with standards using relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
May perform other duties as assigned.
Minimum Qualifications (Education, Experience, Skills) High School Diploma, or GED, and/or three years of related experience.
Additional education may be substituted for years of work experience.
Willing to get Certification in HACCP and PCQI.
Proficient in Microsoft email Outlook, Excel, PowerPoint, Word etc.
, Ability to perform basic math skills.
Strong oral and written communication skills (Bi-lingual/Bi-literate Spanish Required).
