5 days a week, 8 hours a day, Monday through Friday.
Occasional odd hours to support projects.
Position Summary This position will serve as an executive assistant to a Vice President and the facility department.
Candidate will need to be organized with excellent communication skills.
Primary tasks will include scheduling, dispatching vendors, providing meeting support and record keeping.
Essential Duties and Responsibilities Facility Assistant:
The primary duties of this position revolve around the managing and distribution of information throughout an industrial agriculture facility.
This position requires a candidate who will be comfortable working in both an office setting and walking around an industrial facility.
Communication:
Strong communication skills and a high emotional intelligence are essential.
Vendor Coordination:
Contact and schedule vendors as required to handle facility repairs.
Orient visiting technicians and take them to their appropriate work locations.
Schedule routine inspections, cleanings and system calibrations.
Prepare paperwork in advance of visitor arrivals and follow-up to get reports on their departure.
Team Support:
Coordinate with internal and external teams to schedule facility meetings.
Track department calendars in Outlook.
Coordinate resources required for team meetings; set up meeting rooms, prepare printouts, pick-up and distribute food.
Take notes in staff meetings and distribute to attendees.
Upkeep Records:
Complete data entry on collected reports and distribute as appropriate.
Create spreadsheets in Microsoft Excel, including visual representations of data.
Follow up with employees on missing reports.
Keep archives and libraries organized for easy access.
Regularly update safety resources including SDS binders and evacuation documents.
Help to complete government compliance records and inspections.
Office Support:
Order and organize office supplies.
Mail and track packages for facility departments.
Distribute documents as needed.
Coordinate office building services including cleaning and repairs.
Desired Qualifications (Education, Experience, Skills) Excellent oral and written communication skills.
Efficient organization and time management skills.
Computer literate; emphasis on Microsoft Outlook, Word and Excel.
Associate's or Bachelor's degree desired.
Current students or candidates with prior experience will also be considered.

Safety Glasses must be worn at all times.
The noise level in the work environment is usually moderate.
